Account information - when you register, we collect your name and email address via Google Sign-In.
Vehicle and operational records - mileage entries, daily and weekly vehicle check records, maintenance data, tyre information, service history, and compliance records you enter into the app. This data belongs to you.
Usage data - basic information about how you use the app, including device type and session data, used only to maintain and improve the service.
Local storage - certain preferences (such as your inspector name and vehicle settings) are stored locally on your device via your browser's local storage.
We use your data to provide and improve Smart Operations PRO, to maintain your account, and to store your vehicle and compliance records securely. We do not use your data for advertising and we do not sell it to third parties.
Check records and mileage data are stored in line with the DVSA recommendation of 15 months minimum retention. You are responsible for maintaining compliance with any applicable record-keeping obligations.
Under UK GDPR Article 6, we rely on the following legal bases:
Contract (Art. 6(1)(b)) - processing your account and vehicle records is necessary to provide the service.
Legitimate interests (Art. 6(1)(f)) - improving the app and maintaining security, where these do not override your rights.
Consent (Art. 6(1)(a)) - where you have explicitly agreed, for example when signing in via Google.
Your data is stored securely using Google Firestore (Google Cloud), with encryption in transit and at rest. Google acts as a data processor on our behalf under their standard data processing terms.
Authentication is handled by Google Sign-In. We do not store passwords.
We do not share your personal data with any other third parties except where required by law.
Our website (smartoperationspro.co.uk) uses Google Analytics to understand how visitors use the site. This sets analytics cookies in your browser, but only after you have given consent via the cookie banner shown on your first visit. If you choose to reject, no analytics cookies are set.
You can change your cookie preference at any time using the "Cookie Settings" link in the website footer.
The app itself (app.smartoperationspro.co.uk) does not use cookies for tracking. It uses your browser's local storage to save certain preferences, as described in Section 2.
Active account data - retained for as long as your account is active.
Deleted accounts - personal data is removed within 30 days of account deletion.
Vehicle compliance records - we recommend retaining these for a minimum of 15 months in line with DVSA guidance.
Under UK GDPR you have the right to access, correct, or delete your personal data; to restrict or object to processing; and to data portability. To exercise any of these rights, contact us at hello@smartoperationspro.co.uk. We will respond within one calendar month.
You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
All data between your device and our servers is encrypted using HTTPS/TLS. Data stored in Firestore is encrypted at rest. Check records are tamper-proof once submitted - they cannot be altered retrospectively.

We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page. Continued use of Smart Operations PRO after changes are posted constitutes your acceptance of the updated policy.
